Documents Required for a Portuguese NIF

A short, practical checklist — for adults and for minors.

The short answer: two documents for adults

For the vast majority of adult applicants, getting a Portuguese NIF — the nine-digit tax number issued by the Portuguese Tax and Customs Authority — comes down to just two documents. There is no long checklist, no notarised paperwork to chase, and no in-person appointment to book. You will need:

That is genuinely all most people need. The NIF itself is a permanent number — it stays with you for life and never expires — so the documents you provide are simply used to register your identity and your current address with the Tax Authority.

Why a proof of address matters

Your NIF is first registered as a non-resident number, tied to the address where you currently live. That is why the proof of address is so important: it tells the Tax Authority where you are based today, outside Portugal. Because applicants who live outside the EU or EEA must appoint a fiscal representative in Portugal, this registration links your foreign address to a representative who can receive correspondence on your behalf.

The document does not need to be in English — bills and statements in other languages are usually accepted, and we will tell you during review if a translation is ever required. What matters most is that the document is recent (within 3 months), shows your full name, and clearly displays your residential address.

For minors: a little more paperwork

Applications for children under 18 need a few extra documents, because both parents’ identities and the parental relationship have to be confirmed. For a minor you will need:

You do not need to draft any consent forms yourself. We prepare the parental consent declarations for you as part of a minor NIF application, so the legal wording is handled correctly from the outset.

Format tips that avoid rejections

Most delays at the Tax Authority come down to small, avoidable issues with how a document is captured or scanned. A few simple habits keep your application moving:

We review everything before submitting, so small problems are caught early by our team rather than later by the Tax Authority. That review step is one of the practical reasons applicants choose a managed service over filing alone.

What you don’t need

It is worth being clear about what is not required, because the process is far simpler than many people expect. You do not need to visit Portugal, attend a consulate, or appear in person anywhere. There is no interview and no appointment.

Instead, the power of attorney we prepare — signed by a lawyer registered with the Portuguese Bar Association — authorises us to file the application on your behalf. This is the same mechanism that lets the whole process happen remotely, wherever you are in the world. NIF Express is the online service of Blue Ocean Immigration, a licensed immigration consultancy with offices on Avenida da Liberdade in Lisbon.

What happens after you apply

Once your two documents are in and reviewed, the NIF is typically issued within 3–7 working days. The access password for the Tax Authority’s online portal arrives separately, around 7 days later, sent by registered post to your fiscal representative. The single price of €49.99 already includes the mandatory first year of fiscal representation, so there are no hidden costs to factor in once you have your number. You can read more about what is covered in the price and how long a NIF takes if you want the full picture before you begin.

Frequently asked questions

Can I use a national ID card instead of a passport?
A passport is the most widely accepted document and what we recommend. If you only hold a national ID, contact us first so we can confirm it will be accepted for your nationality.
Does my proof of address need to be in English?
No. Documents in other languages are usually fine. If a translation is needed, we will let you know during the review.
Which address do I use if I am moving to Portugal?
Use your current home address abroad. Your NIF is registered as a non-resident first, and you can update your address with the Tax Authority once you have a Portuguese residence.
How recent does my proof of address have to be?
It should be dated within the last 3 months and clearly show your full name and home address. A utility bill, bank statement, or official letter all work well.
Do I need any extra documents because I live outside the EU?
No additional documents are required from you. Applicants living outside the EU or EEA must appoint a fiscal representative in Portugal, and that representation is already included in the service.
